BT and Redwood logos Redwood New Media and the Redwood group bring blue chip clients and their customers closer together using digital channels of communication as well as traditional print media. Redwood are experts in providing relevant content for their client sites as well being the UK’s leading publisher of in-house magazines. BT’s commercial arm provides many different services for its client base.

What they wanted

BT and Redwood together prepare case studies of BT’s own client successes for the entire BT group to use in a variety of different ways. However, the client signoff process was actually proving a real problem in terms of the time it was taking, causing case studies to take months to become available. The team needed a system that could provide a very complicated level of workflow and security in terms of who could see what content, how and when. Electronic reminders that work needed completing were also needed. Given the number of people, both within BT, Redwood and the client companies themselves, the problem of providing copy and changes in traditional media was hard and it was felt that the ease-of-use of any electronic system was going to be difficult to provide across multi-cultural, multi-company domains.

How we responded

Workflow is a major headache for most companies because it has to mirror the business process and can often become too complex to be usable. Because of this, we proposed a system that would logically split the case studies up into relevant sections and achieve signoff processes for each in tandem. Not only that, but it would provide areas for comment and change depending upon the position of that individual ensuring what they were allowed to see would be made available, what was considered inappropriate, they would not see.

This advent naturally speeded up the sign off process independently of digital content creation. The new system proposed would then keep all of the comments and copy collectively in an on-line database, fully available to relevant client personnel securely through an extranet, allowing those responsible for pulling all of the case studies together, to have any and all content available to them.

Wrenhill were also asked to provide full management support and hosting for the solution, which we were pleased to provide. The system was completely coded using open-source components. The case studies are now available to business groups within BT facilitating access to their success stories in a fraction of the time. Wrenhill delivered the system on time and budget.
